Vern Technology Limited ("Vern", "we", "us") supplies IT equipment, service and device lifecycle management to businesses in Jamaica. This policy explains what information we hold about our clients and their people, why we hold it, and how we look after it.
In short: we hold the information we need to sell, deliver and support equipment for your organisation, and to show it back to you in the Vern Client Portal. We do not sell it, we do not use it for advertising, and one client can never see another client's information.

Your organisation's name and business address, and the name, work email address, role and department of the people you authorise to deal with us or to use the Client Portal.
Quotations, purchase orders, invoices, payment status, delivery confirmations and related correspondence arising from our trading relationship.
For equipment we supply or support: serial numbers, models and specifications, asset tags, warranty coverage and expiry dates, assigned department or user where you provide it, and the service and repair history of that equipment.
Sign-in activity and the basic technical records needed to keep the portal secure and working. Passwords are stored only as salted cryptographic hashes and are never visible to Vern staff.
We do not use your information for advertising, we do not sell it, and we do not make it available to data brokers.
Portal accounts are scoped to a single client. Someone signed in under your organisation can see only your organisation's records — never another client's. This is enforced in the database itself, not merely in the interface.
Within Vern, access is limited to the staff who need it to serve you, principally our sales, service desk and management teams.
We run our business on established third-party platforms — for hosting, databases, accounting, email and document storage. These providers process information strictly on our instructions, under contract, and are not permitted to use it for their own purposes. Some are located outside Jamaica, which means your information may be stored or processed abroad; where that happens we satisfy ourselves that appropriate safeguards are in place.
Some of these systems are connected to one another so that the information you see stays consistent — for example, the payment status shown against an invoice in the portal is drawn from our accounting records. These connections are read-only, operate on our own accounts, and never reach into any system belonging to you. Where we authorise such a connection, we can withdraw that authorisation at any time, after which no further information passes between the systems.
We are happy to identify the specific providers we use on request — please write to us at the address in section 1.
We disclose information outside Vern only where:
No system is perfectly secure, but we take these obligations seriously and will notify affected clients promptly if a breach materially affects their information.
We keep client records for as long as our relationship continues, and afterwards for as long as we are required to retain accounting and tax records under Jamaican law. Records no longer required for either purpose are deleted.
You may ask us to correct or delete information, or to close portal accounts, by writing to information@verntechnology.com. We will act on the request except where we are legally obliged to retain a record — most commonly issued invoices, which form part of our statutory accounting records.
Individuals whose personal information we hold may ask us to confirm what we hold, to correct it if it is inaccurate, or to delete it where we are not required to keep it. Write to information@verntechnology.com and we will normally respond within 30 days.
Our services are provided to businesses and are not directed to children. We do not knowingly collect information from anyone under 18.
We may update this policy from time to time. The effective date above shows when it was last revised, and material changes will be communicated to portal users through the portal or by email.
